What Does After-Hours Coverage Really Cost Your Home Care Agency?

Discover how home care agencies can calculate the true cost of after-hours coverage and compare staffing options beyond hourly rates.

When comparing after-hours support options, it’s tempting to look at one number:

The hourly rate.

But that can be misleading.

A home care agency doesn’t simply need someone for a few hours. It may need reliable availability every night, overnight, weekend, holiday, and whenever the regularly scheduled person is unavailable.

So instead of asking, “What does one worker cost per hour?” there’s a better question:

“What would it cost my agency to reproduce the coverage we actually need?”

Start With the Coverage Window

Consider an agency looking for coverage approximately:

5:00 p.m. to 8:00 a.m. Monday through Friday, plus 24-hour coverage Saturday and Sunday.

That represents approximately 123 hours of potential coverage every week, or more than 500 hours in an average month.

Of course, your agency won’t receive 500 hours of phone calls.

But someone still needs to be available during those hours.

That distinction matters.

One Employee Probably Isn’t the Real Comparison

A dedicated employee or virtual assistant may have an attractive hourly rate.

But can one person realistically provide every weeknight, overnight, weekend, holiday, and backup shift?

Probably not.

To reproduce extensive after-hours coverage internally or through dedicated staffing, an agency may need to account for:

  • Multiple employees or shifts
  • Weeknights and overnights
  • Weekends and holidays
  • PTO
  • Call-outs
  • Backup coverage
  • Recruiting and training
  • Supervision
  • Payroll expenses or overtime
  • Turnover

Suddenly, comparing one employee’s hourly wage to a monthly after-hours service fee isn’t an apples-to-apples comparison.

The Shared-Service Difference

24/7 Coastal Contact uses a different model.

Instead of requiring one agency to independently fund an employee for every hour that after-hours coverage is available, our shared-service structure spreads a trained after-hours infrastructure across our client base.

Depending upon service agreements and call volume, plans currently begin around $1,500 per month.

At an entry level, an agency may have access to more than 500 hours of nights-and-weekends coverage availability per month.

That works out to less than $3 per available coverage hour.

Importantly, that does not mean someone is working exclusively for one agency for $3 per hour.

It demonstrates the economic advantage of shared coverage.

Don’t Compare Hourly Rates. Compare Coverage.

There are situations where hiring a dedicated virtual assistant or employee makes excellent financial sense.

If your agency needs someone performing productive administrative work for eight hours every day, such as recruiting, data entry, billing support, follow-up calls, or routine scheduling, dedicated staffing may be exactly what you need.

But that’s a different problem.

24/7 Coastal Contact is designed for agencies saying:

“We need dependable human support whenever our office is closed, but we don’t need to employ someone exclusively for every one of those hours.”

That changes the math.

Calculate Your True Cost

Before selecting an after-hours solution, ask:

How many people would we need to cover our entire after-hours window?

Who provides backup when someone calls out?

Who covers weekends, holidays, and PTO?

Who recruits, trains, and supervises the team?

What happens when turnover occurs?

And what is the total monthly cost of maintaining all of it?

That gives you a much more meaningful comparison than an hourly wage alone.

At 24/7 Coastal Contact, our goal is to give home care agencies access to extensive, professional after-hours coverage without requiring them to build and maintain an entire overnight and weekend department themselves.

Don’t just compare the hourly rate. Compare the cost of reproducing the coverage.
